Terms and Conditions

Whether a contract was established orally or in writing, terms and conditions still apply. All of the individuals using the automobiles are represented by the hirer. A responsible person must be identified if the hirer is a business, association, or partnership. Whether or not they actually travel with the party, the hirer is liable for the decisions and acts of all the passengers on board and any additional expenses incurred in carrying out the contract. Before the hire takes place, the employer must be notified, and a representative must be designated if the hirer is not going to travel with the group. The firm will accept only instructions from the hirer or their agent. Making a reservation will mean acceptance of the terms, regardless of when the hirer received a copy of the conditions or was informed of them verbally or in writing on their quote paperwork. When a hirer makes a reservation without first getting these terms and without orally being informed of all critical clauses, the hirer has 48 hours after receiving these terms to terminate the agreement without incurring any fees from the operator. If not, the hirer will be presumed to have accepted these terms.

VEHICLE USE

With prior arrangements with the firm, the hirer can anticipate that the vehicle will be used between the outbound and return trips. It will remain at the destination for the hirer’s use.

OUR AUTOMOBILES

The hiring authority will add a pro-rata charge unless extra seats are utilized. We have the right to provide a larger vehicle than stated at no additional expense. For all or a portion of the rental, the company reserves the right to substitute another car (including those owned by other operators) or associated facilities, provided that the replacements are of at least comparable quality and are agreed upon with the hirer.

The company offers its recommendations on travel time in good faith. However, journeys may take longer than anticipated due to breakdowns, severe weather, traffic congestion, or other factors beyond the company’s reasonable control. In those cases, the company will not be liable for any loss or inconvenience caused by the hirer.

Due to statutory safety requirements, luggage limitations apply to all vehicles that the company rents out. The hirer agrees that the driver will be the only one to choose if and how much of the passengers’ belongings are transported. Significant or “bulky” objects might not be able to be transported, so the hirer should make every effort to let the business know in advance if this is the case.

The firm accepts the hirer and their passengers’ personal property with the understanding that the company will take all reasonable precautions to prevent loss or damage. The hirer must let the company or the driver know if anything of extraordinary value will be transported on the vehicle. The hirer must reduce the possibility of loss when the property is abandoned.

The present Public Service Vehicle (Lost Property) Regulations will apply to any items of lost property retrieved from the vehicle, which will be kept at the company’s location where the car is based.

The driver’s hours of operation are governed by law, and the hirer agrees to be responsible for ensuring that the hire adheres to the times and hours set out by the business. Neither the hirer nor any passengers may cause a delay or other interruption to the trip that might put the driver in violation of laws governing driving hours and duty hours. If a breach is likely to happen, the hirer is in charge of paying any additional costs unless they are beyond their control. Any payments shall be calculated following condition 4.

EVENTS IN SPORTS

When traveling to a sports event, the hirer should be aware of the Sporting Events (Control of Alcohol) Act of 1985 (as amended alcohol-related)’s regulatory requirements and the Racing Course Association Ltd.’s entrance criteria for race tracks. Specifically
Alcohol cannot be transported on buses or consumed while traveling to or from any sporting event. Police can inspect travelers’ bags for alcohol and take them away.

Specify and agree upon the vehicle’s legal seating capacity at the time of booking. Beyond this weight limit, the hirer cannot load the car.

ANIMALS No animal, excluding guide dogs and hearing dogs approved in advance by the firm, may be transported on a vehicle without the company’s prior written consent.

Quotes are offered based on the shortest route and the client’s information. Unless the hirer has specifically requested a sure way, in which case it will be made explicit on the confirmation, the company will choose the route at its discretion. The price may be modified as necessary if this quotation is altered in any way. Quotes are provided subject to the firm’s availability of a suitable vehicle when the hirer accepts the estimate.

Unless otherwise stated, quotations are suitable for seven days from the date of issuance. Quotes are only provided for the coach and driver. Parking, tolls, and lodging are additional costs that will be listed individually and, unless otherwise stated, will be the hirer’s responsibility. Any agreed-upon extra services must be paid for at the same time as the deposit.

If the net cost of gasoline increases significantly, quotes for periods longer than four weeks in the future may be subject to a fuel fee. If there are additional fees, the business will notify the hirer as soon as possible. The firm will inform the hirer of additional fees as soon as it is practical if the net cost of gasoline considerably rises after the hire.

* Please Take Note: Brexit. We retain the right to alter, modify, or revoke any portion of our proposed quotation if your quote is for work that will take place outside of the UK and was costed before March 2019. As a result, we cannot estimate the potential cost effects of Brexit on your quote.

The driver is always in charge of maintaining the vehicle’s safety and is thus authorized to exclude any passenger whose actions endanger the safety or violate the Public Service Vehicle (Conduct of Drivers, Inspectors, Conductors, and Passengers) Regulations of 1990. All parties are given specific rights and obligations under these regulations.

For the period of the hire, the hirer is liable for any harm any passenger causes. Please be aware that the parent or guardian will be held accountable for any health and safety violations committed by children or minors. This could prevent a pupil from traveling on school buses. Before taking action, a formal written warning to this effect will be given so appropriate preparations can be made.

Our organization prioritizes health and safety. Therefore, we urge everyone riding in the car to buckle up and heed all instructions and warnings. Minors must be accompanied by an adult in charge of their supervision if they ride in the car. Each youngster is required to have their seat. Infants need to be transported in a suitable booster or car seat. (supplied by a parent or adult guardian).

The use of alternative smoking products, such as electronic cigarettes or “E-cigarettes,” is not authorized at any time on any of our vehicles. Smokers will be requested to leave our cars if they are discovered.

All school groups must ensure they are aware of their responsibilities for student preparation, supervision, and planning as outlined in the DfES article, “Health and Safety of Pupils on Educational Visits” (HASPEV). Please ensure you have enough adult supervision so that, in the event of an emergency, there is at least one adult staff member besides the emergency exits on our cars.

On our cars, alcohol may only be consumed with the company’s prior approval. Any usage of alcohol must be done so moderately, and the firm has the right to deny passage to any passenger if they are thought to pose a risk to themselves, other passengers, or the driver. Without the company’s previous approval in writing or verbally, food and drink (including alcoholic beverages) are not permitted to be eaten in the vehicle.

All passengers are kindly asked to pick up any garbage; the driver will have black trash bags available. A cleaning fee of up to £50 may be charged for cleaning the car due to excessive mess or consumption (vomit or other body fluids). Before your trip, we ask for a £50.00 deposit, which will be returned the following business day.

The cost of taking the leased vehicle off the road to be cleaned or repaired if it is returned in an unacceptable state will be charged back to the hirer. Please be aware that removing a vehicle from service to undergo extensive cleaning or damage repair will result in a day “out of service fee” of £500. Additional fees will be assessed for labor, chemicals, and any necessary parts.

The firm retains the right to charge for these kit replacements if a kit is required due to illness or injury, whether due to excess or unintentional reasons. All vehicles are equipped with spill kits.

The company maintains the right to levy extra fees if the customer uses more time or miles than is specified in their confirmation or quote papers. These fees will be prorated on an hourly and mileage basis.
The vehicle will leave at times agreed upon by the hirer, and the hirer must account for all the passengers at such times. The driver will arrive on time before your designated hire time. The firm will not cover any losses sustained by passengers who disobey the hirer’s guidelines.

The hiring rate for your bus does not include tolls or coach parking fees. If you want them added to your invoice, please let us know when making the reservation.

If reserved in advance, car restrooms are available for an additional fee. If a bathroom is necessary for your trip, please let us know when making your reservation.

Please email or call if you want to accept our quote. As soon as we get your request to confirm your trip with us, we will check our schedule and let you know whether or not we can go ahead and make the reservation.

If space is available and we can go forward, we will need a 25% deposit and payment for any “added extras” to secure your reservation within seven days.

Payments are due in full no later than 14 days before your trip or 30 days during our busiest times if a deposit is needed (June – July). The business retains the right to charge daily interest starting when the payment is due at an additional rate of 8% annually above the Bank of England base rate. Please be aware that any bills not paid within our payment terms will be submitted to our debt recovery agents, Final Demand Ltd., who will then apply a 15% + VAT surcharge in place of our recovery fees.

The employer may cancel the contract and restore all monies paid in the situation of an emergency, riot, civil unrest, strike, lockout, stoppage, or labor restraint, as well as any other circumstance over which it has no control (such as unfavorable weather or a significant increase in the net cost of gasoline), or if the hirer takes any action to change the terms agreed upon unilaterally.

COMPLAINTS

In case of a complaint regarding the company’s services, the hirer should make an effort to find a resolution by enlisting the driver’s or the company’s help. If this has not resulted in an answer, complaints must be made in writing within seven days of the hire’s termination date. The company will acknowledge all complaints within 14 days, and a comprehensive response is typically provided within 28 days.
